Release Notes – 8.23.2023

Following are the release notes for additions, changes and fixes made to our software application releasing between August 9th, 2023 and August 23rd, 2023. NEW FEATURES

New Event Alert for Upcoming Volunteer Registration Close Time

Added a new event alert for the auto ‘Close Volunteer Registration On` date and time when an auto closing of a registration form is upcoming (within 3 days) and there is at least 1 configured volunteer category/job.

Event Cancellation Protection Program expanded to ticket categories

We are happy to announce this feature has been expanded for further use within our ticket type categories. Further details on the program is available here.

Participant Heat Map added to Participants Location widget in metrics & analytics

By popular request, we have added in a heat map feature to our participants location widget. You can now choose to view the location of your participants by marker count on the map or via heat map.

New permission role of “Series Admin” and “Series Admin – Non-Financials” now available

We have added these two new permission roles for administrators. These roles provide access all events in the series(s) selected in the permission, no longer requiring to provide access to the entire tenant or manually add individual events, year after year. The permission set follows largely the access of the Event Admin, but adds in a few Tenant level dashboards that can be seen across the series. A full list of access is available to view when configuring that permission role. In addition, “Series” can now be selected as a base for “Custom” permission roles.

FEATURE CHANGES & UPDATES

Cancelling a membership event or registration will now cancel future renewals

If a membership event changes the event status to closed, we will now cancel all future renewals and renewal notifications. In addition, if an individual registration is canceled, the same actions will also be taken.

Enhanced UI/UX of the Metrics & Analytics Tab

The UI/UX of this feature has been improved by moving to a tabular layout for the widget groups within the current tab of the Event Manager. Instead of listing all the widgets sequentially down the page, you can now navigate between widget groups via tab within the page. This will now allow users to see and understand there are more widgets available for interaction. Widgets can still be and have been retained to be disabled within widget groups from personal view, if wanted. This optimization will also lead to a performance increase when loading and using widgets within an event.

Optimized stand-alone orders to link back to the associated registration for admin

Orders that contained stand-alone items (did not include a category) will now provide a link to the associated registration with that item for admins. In addition these orders will now display in the registration order history on “/admin/registrations/view/id” and will now be searchable in “/admin/orders” tenant search.

Personal Information Collection is now configurable by category type

The configuration for personal information collection questions asked during registration has been upgraded to now be able to be defined by category type. You can now set individually for participants, volunteers and tickets, which personal information to collect that is needed for that category type. Previously we allowed configuration only for participants and pre-defined the fields and requirements for tickets and volunteer.

Membership Id has now been added to the Registrants of Multiple Events tenant report

We have added the field of `Registrant Member ID` to the report. This will allow an admin to determine if any of the registrants are active members for the tenant and then be able to view if they have registered for multiple events.

Results `Time of Day` field in reports has been optimized

Updated the display of the “Time of Day” Field presented for results to include seconds as well as to display in the events time zone as opposed to UTC.

Prevent submission on category selection page submission without category selection

Updated the form to disable the continue button, if a category has not been selected. This will appear greyed out and not clickable, until a category is selected, or tickets added, then the button will change to the primary color of the tenant to continue.

Optimized UI/UX of nested categories on category selection

Optimized the UI/UX of our accordion used when there are nested categories. These optimizations were to help further indicate to a user there are more categories to be selected and standardized with the expected interactions of an accordion. These optimizations include:

  • Moving the arrow to the right side of the form and changing the interaction to up and down instead of right and down
  • Replaced the arrow on the left with an icon that indicates there are multiple categories underneath
  • Added a count of available categories per category type, to indicate the total quantity of available to register for categories

Enhanced Email Validation on user entry

Enhanced the email address validation on user input to follow the acceptable email address format to prevent bad email addresses from being added. We previously had basic validation, around an @ symbol and a dot being required, but have now enforced this further in the following ways, specifically by now looking at the local-part and domain independently:

  • Local-Part
    • Do not allow spaces
    • Do not allow special characters “(),:;<>@[]
    • Do not allow consecutive dots
    • Do not allow dots to be the first or last character
  • Domain
    • Do not allow spaces
    • Do not allow special characters “(),:;<>@[]
    • Do not allow printable characters !#$%&’*+-/=?^_`{|}~
    • Require 1 and only allow 1 dot
    • Do not allow consecutive dots
    • Allows a hyphen if it is not the first or last character
  • Overall Email Address
    • Trim
    • Require 1 and only allow 1 @ symbol

Updated treatment and options of deferrals with event cancellation protection

The treatment around deferrals and how those are handled with the event cancellation program in the new event has now been changed. The new process, will no longer give credit in the original event for event cancellation protection, this was mandated by the coverage insurer. Additionally we have added a setting for how an event wants to handle if the new event they are deferring into offers event cancellation protection. A new setting exists within the deferrals that will charge the event cancellation fee in the new event to the user, which they will have to pay for, even if their deferral is $0, then they are covered OR do not charge the event cancellation fee, but then the user will not be covered in that new event. This change was brought in by restrictions of the coverage insurer (coverage is non-transferrable between events ) but also with preference by admin usage, thus a setting exists. Event cancellation cannot be bypassed for payment in any event, so if the preference is for a user to pay for event cancellation in the new event and the remaining balance of an order is an event cancellation fee and the admin does not want the user to pay it, the admin will need to use their (organization) credit card to make payment for that fee.

BUG FIXES

User was created with full & guest account at the same time

Resolved an issue where a user was being created with a guest and full account at the same time in certain scenarios, with their anticipation being a full user account. A follow-up task is created to merge the full & guest duplicated accounts.

User unable to complete admin initiated deferrals

Resolved an issue where a user unable to complete admin initiated deferrals, due to waiver handling. The validation will now direct users to accept the waiver following our standard waiver rules for the user logged in and the registrant being registered.

Updated admin interactions with re-direct when adding a product with a fee

Resolve an issue where we don’t redirect an admin to the checkout page after adding a product with a fee from the /admin/registrations/view page. Previously it directed the admin back to the registrations view page, then the admin would have to click on the order link to finish or try to re-add the product to prompt the path to the cart.

Resolved not being able to see question response on events_teams admin view

Resolved as issue where a team question displays as no response on the events_teams admin view, but there is a value saved in the team registration list report
